Who we are

EDU ADVANCE operates a study-abroad counselling website, a student portal, a partner (B2B) portal and an internal staff/admin workspace. We use personal data to counsel students, process applications, communicate about files and operate the platform.

Information we collect

We collect information you submit on public forms (contact, consultation, apply, event registration, language-course enrolment, app-notify and callback), information you enter when creating a student or partner account, and information staff or partners add to a student file.

Typical fields include name, email, phone, country of residence, preferred destination, study level, subject, intake, English-test status, and free-text messages. We also store IP address on form submissions to reduce abuse.

Account information

Student, partner, staff and admin accounts store name, email, hashed password, phone (if provided), role, and two-factor authentication secrets when 2FA is enabled. We do not store payment-card numbers on this platform unless a configured payment provider requires a token; card data, if any, is handled by that provider.

Student applications and documents

Application files may include academic history, passport details, English scores, statements of purpose, offer letters, visa stage notes and uploaded documents (transcripts, certificates, photos and similar files). Documents are stored so authorised staff, the student and — where a partner created or is assigned the student — that partner can work from one file.

Partner accounts are isolated: a partner can only see students and applications belonging to their agency, not other partners’ files.

Partner information

Partner records may include agency name, licence number, country, address, website, commission terms, contract files and compliance status. This is used to operate the B2B relationship, not for public marketing unless you ask us to list you.

Website analytics

The public website does not currently load advertising pixels or a third-party analytics tag. If Admin later enables a privacy-respecting analytics tool, this policy should be updated to name that tool. Server logs may record requested URLs, timestamps and IP addresses for security and uptime.

Cookies

We use essential cookies to keep you signed in, protect forms (CSRF) and remember session data such as programme compare lists. See the Cookie Policy for the list of technologies actually in use.

Communications

We use the contact details you provide to answer enquiries, book consultations, send application updates, and — if you asked to be notified — tell you when official mobile apps are listed. You can ask us to stop non-essential messages at any time.

Data security

Access to student and partner files is permission-based. Staff see only what their assigned role allows. Passwords are hashed. Two-factor authentication is available (and may be required by Admin policy) using a standard TOTP app. No security measure is perfect; please use a unique password and enable 2FA on portals that hold documents.

Data retention

Enquiry and consultation records are kept while they are useful for counselling and compliance, then archived or deleted according to Admin practice. Application files and documents are retained for the student journey and for a reasonable period afterwards so we can answer university or visa queries. You may request deletion; we may retain a minimal record where we have a legal or dispute-resolution need.

Third-party services

Universities, testing bodies, visa authorities, payment providers, email/SMS carriers and cloud hosting are independent organisations. When we submit an application or you pay an institution, their privacy terms apply to that transfer. We do not sell personal data.

Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal data, and you may object to or restrict certain processing. Portal users can update many profile fields themselves. For a copy of a file or a deletion request, contact us using the details below and quote the email used on the account or form.
